Do's and Dont's to be followed in a living apartment

As Iam living in apartment flat which is small in size (8 in 2blocks), I have experiencing different kind of problems daily for the past 2yrs.May be absence of experience in living a flat or lagging of maturity level in adjusting and interaction with the neighbors forced to write this blog.

 The Secretary of the flat who is the authorized and rightful person should be selected in the favor of majority of the members and the views of all the members regarding nominees of that post (their willingness, capabilities, skills, honesty, etc qualities) should be discussed in detail before the voting.The one other mode of selection is round robin selection.., each flat member should be the Secretary once in a cyclic manner.This is a simple selection process by mere following their willingness as like taking the maintenance job.But these two method selection depends on the workload and size of the apartment.We thought as our apartment size is small and workload also less ,we go for second option.Also these rules given here will be applicable for small sized apartment.As we got two blocks ,we elected two secretary from each block to reduce their workload further.(Here members are the owners of the flat or owner nominated person, rented person or friends will not be considered as a member).

First job after selecting the secretary ,their job should be discussed in details,the main job of them is maintaining account,attending issues related to electrical ,plumping ,building damages and common partition problems and allotting daily maintenance job to the members.He is the superior authority of the apartment , any common problems should be discussed and solved under his supervision.In his absence ,he can surrender the job to the other secretary or any member with their willingness.If he is going out for long term, the members should jointly appoint the next secretary.Members should cooperate the secretary as much as possible in delivering their job.

To point and solve the common issues , the secretary should call for the monthly meeting .The issues should be discussed in presence of all members otherwise there wont be a real solution is justified.The members should convey their absence before the meeting, so the meeting should be scheduled and informed well before to the members.In our case, we contact the meeting every first Sunday of the month at 10 - 12am , so that members can plan accordingly. In case of any major decision to be implement in the apartment, all the members should be informed about the plan and get approved ( It can be done by signing an agreement ,so that it will solve the future problem raised by that decision).

Points to be discussed in the meeting
1.Account is the major point to be presented in the meeting, it should be a open book to the members and it can be given in a single excel sheet with Description, debit and credit column.At-least by seeing the excel sheet, members can came to know the income of the account and expenditure work undergone in that month.

2.Next point is the allotting maintenance job to the member,we are following a round robin method and listing out the members name for the respective month according to their willingness for the maintenance job well before.So, scheduling will not be problem but the nature of the job will be discussed in detail before giving to the member.Our maintenance job will be switching ON and OFF sump motor, bore motor , common lights and locking main door in the respective informed timings discussed in the meeting.In the absence of the member, he may request the job to any other member or secretary. Secretary may request any other member to take the job.
